The Role. As our Administrative Assistant you will be expected to manage the Regional Vice President's schedule, daily communications, and organization and completion of reports and documents. While maintaining an organized and detailed work space, the Administrative Assistant will serve as a liaison for all Associates and other corporate offices.
The Key Responsibilities.
Assist with monthly draw package assembly
Scan and file invoices
Scan and file draw checks, mail to vendors
Assemble monthly reports
Assist Contract Coordinator with various contract organizational duties.
Distribute and follow-up on subcontracts, purchase orders, and change order requests.
Gather, monitor and enter subcontract insurance information into accounting system.
Maintain a Subcontractor Insurance & Waiver Logs.
Request vendor information and maintain vendor files & log.
Any other job duty, as assigned by Contract Coordinator
Answer incoming phone calls in a positive, professional manner
Ensure front office and conference room is maintained in top form so that guests and visitors feel welcomed and that the environment is professional
Open office for business at 8:00 a.m.; close office at 5:00 p.m.
Coordinate supplies for the corporate office
Ensure that equipment is maintained and in operable condition
Distribute incoming mail & packages
General knowledge of the real estate and development industry.
Effective organizational and time management skills.
Excellent verbal and written communication and listening skills.
Ability to work independently with minimal supervision.
Accurate and detail oriented.
Strong interpersonal skills with the ability to interact and relate effectively, productively, and positively with other Associates.
Dependable, punctual, reliable.
Ability to work a schedule that may include hours other than 8-5 Monday through Friday, depending on business needs
