As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the Corporate Office. To be successful as a Receptionist, you should be personable and professional as this is also a customer service role. It is imperative that you present a professional demeanor in person, over the phone, and via email. Multitasking and the ability to prioritize is essential for this position.
Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards. Job responsibilities will vary and may include, but are not limited to, the following:
Respond to all corporate emails from our corporate website or delegate to the correct individuals.
Greet, welcome, and direct visitors/guests accordingly upon arrival
Ensure reception area is presentable
Ensure conference rooms are presentable and clean after being used
Refresh the coffee/beverage areas daily for two kitchens on the 10th floor.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, validate parking, etc.)
Schedule conference room reservations and update calendars accordingly
Assist with conference room technology and presentation systems
Perform other clerical receptionist duties such as filing, photocopying, and faxing
Assist the National Projects Manager with web based programs which include Property Solutions, Career Center and Milestone Awards Program
Assist the National Training Director with our Learning Management System
Provide backup and phone coverage for Executive Assistants
High school degree or equivalent is required (college hours preferred)
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional, polished appearance is essential and positive attitude
Strong written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks, exercise good judgment and use discretion when necessary
