A Day in the Life:
Contribute to the success of the organization by coordinating and overseeing the transitions of communities in and out of Alliance; provide necessary trainings and coordinate successful take over for operations teams.
What You'll Do:
Track all property transitions in SalesForce and:
Communicate weekly with VP's, RM's and New Business Associates to update Pipeline Report
Communicate with all departments regarding on-boarding processes for communities into Alliance, including:
Accounting to set up accounts
IT to set up systems, access and logins
Payroll to set up payroll and property accounts
Fed Ex to set up federal express account
Complete and distribute Property Set Up Sheet once received from RM handling on-boarding.
Complete and distribute Yardi Property Control Sheet to RM for final completion.
Assist in transfer of new community onto Yardi and work with RM to arrange data transfer directly into Yardi or establish if data must be hand-keyed into Yardi.
Track due diligence waivers and upload information into SalesForce.
Create transition boxes and forward to communities coming on to Alliance.
Manage and track all transition checklists including:
Transition Checklist (coordinate completion and turn in within 30 days from initial transition date)
Lease Up Checklist (coordinate completion and turn in within 30 days from initial transition date)
90-day Transition Checklist (coordinate completion and turn in within 90 days after initial transition date)
Review utility information, identify bond or deposit requirements, identify all computer model hardware information, coordinate contract and vendor review with the buyer contact, take inventory of the community and staffing needs and coordinate the delegation of vendor letters and utility transfer letters
Request a new list of current vendors and send New Vendor Information Letter in order to advise vendors of Alliance's compliance requirements.
Travel to new sites to arrange on-boarding into Alliance, including:
Set up binder system of procedures
Set up office operations according to policy and standards
Set up files, computers and telephone systems
Order labor law posters and pertinent property management signs
Set up collections system and,
Train new Associates regarding Alliance policies and procedures.
Provide customer service to new communities regarding questions and checklists.
Track 90-day Transition Reports.
Track binder inventory, leasing notebooks and customized inter-office envelopes.
Bill community for transition boxes, supplemental binders and stamp orders as well as any other necessary supplies.
Any other duties assigned or directed
What You'll Need to Succeed:
High school diploma or equivalent
Associates or Bachelor's degree preferred
Previous work experience in a related field preferred
General knowledge of the real estate and development industry.
Effective organizational and time management skills.
Excellent verbal and written communication and listening skills.
Ability to work independently with minimal supervision.
Accurate and detail oriented.
Strong interpersonal skills with the ability to interact and relate effectively, productively, and positively with other Associates.
Ability to have flexibility with working schedule based on business and deadline needs.
