Role Purpose:
As a key part of the department, the assistant will be responsible for scheduling, organization and administrative tasks, in partnership with the team.
This role, as a trusted partner, the assistant will also coordinate and manage important legal, financial and corporative duties, ensuring all strategic materials and plans are updated and effective.
The person in this role is expected to maintain a professional attitude while interacting with a broad range of individuals across the business.
Job Description
Key Responsibilities
- Admin support to the retail agency team and part of the wider admin team in the office.
- Minor accounting duties such as invoicing: through an internal system and payment follow-up. )
- Help in updating data in tools such as CRM Salesforce / Engage and digital archive.
- Making arrangements for internal meetings
- Managing teamâ™s calendar including: scheduling and organizing meetings, , sending reminders.
- Submit teamâ™s expenses, maintain holiday accruals.
- Business support: format and review proposals, teasers and presentation or other specific reports and update team CVâ™s;
- Support Money Laundering Prevention checks and participate in internal and external audits
Knowledge & Experience:
- Fluent in written and spoken English / Native portuguesee
- Proficient use of MS Office tools (especially Powerpoint);
- Some previous experience in similar functions will be a plus;

- Reporting skills
- Organized, keen to learn and pro-active;
- Team player with the ability to work autonomously
- Sense of humour.
- Ability to organize daily workload by priorities.
